How to send forms to your clients from the communication hub

 

How to create an intake form email

Copy the link from your form:

Go to Client Forms from left side menu -> click into the form you want to add to email -> copy URL at top of the page

Create New Rules in Communication Hub:

Go to Communications Hub -> click the green "+" symbol in the top right corner -> click "Get Started" -> choose "When A Client Does Something". Depending on when you wish to send the email to your client you will want to pick the rule (Books a Spot, Creates an Account..etc).

Edit the Email Rule to be sent out every time your client does something, or only a specific time.  The Email Rule is automatically enabled to send Every Time An Individual Client Does something.  To edit this, click the drop down arrows and change when the email gets sent.  Don’t forget to click save after you have chosen the new setting!Intake_form_pt_2

You can further restrict the settings so the email only sends to your clients when needed (For Example-only send the Intake Form Email when a client books a 30 Minute Intake Session ).  Click on Under All Conditions -> Add New Filter -> Drop down and select Schedule Item -> If you click "equals" you will need to copy and paste the exact scheduled item (30 Minute Intake Session) into the text field, this will ensure that every time a client books a 30 Minute Intake Session your email with the intake form link you provided will send.

Create Email Message:

Click the "Send An Email (Inactive)" filter -> Click "Slide To Turn On Email Message" -> Enter Email Subject -> Create the body of your email and paste your forms link where appropriate.    You can copy and paste the variables at the bottom of the email so it automatically pulls your clients' name, etc. into the email body when the message is sent.  Make sure you hit Save at the bottom so that you don't lose your work. Click over to Activate the email bot -> Click back into your Communications Hub Tab to see that your email is now activated and will send.

Activate Rule:

Click the switch under the Robot Head on the left to activate the email bot -> Click back into your Communications Hub Tab to see that your email is now activated and will send.
